Alumni Band Executive Board Meeting
Minutes
January 6, 2008
REMINDER: The next Board meeting will be Sunday, March 16, 2008
1. The meeting was called to order at 2:05 p.m. by President Terry Person.
Present: Gary Baron, Lynn Brown,
Terry reported that Dale Bartlett’s wife has passed away. She brought a card for
everyone to sign.
2. Secretary’s Report –
Minutes from the November 4th meeting were corrected in item 9b on page 4 to insert the word “band” between “alumni and article”. Minutes were then approved as corrected. Betty will ask Joe Levine to correct accordingly on the web site.
3. Treasurer’s Report – Greg Pell (attached at end of these minutes)
a. Greg Pell reports that we did lose money on the fall dinner, which was expected due to the number of comp dinners provided; not a big concern with the current health of the account and relevance to entire fall reunion.
b. Greg has not yet delineated the commission donations as a separate entry in the Treasurer’s Report but will be working on such with Gary Baron soon.
c. We should be receiving a $150 check from Kirk Gartside (Custom Embroidery Plus) for our percentage of alumni band related sales last fall.
d. The Treasurer’s report was approved as submitted.
4. Vice President’s Report – Bill Sachs
a. Bill reports that he and Kim have determined that we can go down one more level and still maintain a high quality newsletter.
b. More return envelopes need to be produced. It was determined that at the present time the same return address will be used (Beryl’s).
c. There will be no major changes relative to registration or membership cards for the spring reunion.
5. President’s Report – Terry Person
a. Terry began her report by thanking all the members for making this Board run so smoothly.
b. Reports were received indicated the holiday pep bands were great; absolutely no negative comments from the band directors.

b. Beryl is still missing portraits from past presidents Jim McCaffrey and Carl Kripe. One last attempt will be made to obtain such. If not received a blank frame will indicate “picture not available.”
8. Old Business
a. Fall
b. Basketball Bands – Jack reported a record turnout of 120 members playing in one or more of the holiday events. The smallest group was 57 and the largest the maximum 80. There was a waiting list. The ultimate compliment heard: “The organization and sound is so good that many fans do not even realize it is the Alumni band and not the Spartan Brass.” We had greater numbers of younger alums participating this year, which ties into our efforts to increase membership and participation.
c. Communications
Update –
d. Continuing Discussion – Increasing membership and participation – It was suggested that we might limit holiday pep band participation to members only, but chose not to do that at this point in time. However, it will be noted on future invitations that should there be a waiting list, priority will be give to those people who are paying Alumni Band members.
9. New Business
a. MSU Alumni Band Trip - Dale will do an article for Encore about the spring reunion brunch for the 2007 tour participants.

c. By-Laws Review – The committee has not yet met. Nancy Nelson cannot participate, so Bob Rice has agreed to be on the committee.
d. Spring Concert Planning – Concert date is April 13th at Wharton.
i. Terry will remind John Madden to ask the band fraternity to provide refreshments.
ii. Terry will ask John or Kevin if letters should go out inviting Bloomquist, Catron, and Whitwell to participate as guest alumni conductors.
iii. Spring registrations will continue to go to Beryl.
iv. Terry will make sure Kurt Gartside is there to sell alumni merchandise.
v. Joe will get information from John and Kevin for the registration forms and for an article in the Encore.

vii. Discussion was held relative to Gary Baron’s suggestion that a committee need to be formed for each reunion, so as not to reinvent the wheel at each board meeting, thereby using valuable meeting time. A mass mailing can be used to recruit a committee.
viii. Gerry Spry volunteered to be Committee Chair. Jack agreed to assist.
e. Next Encore – January 11th deadline for articles (basketball band reports, last call from Beryl for archives, letter from president) pictures and concert registration form.
f. Other –
i. Gordon reported that two different articles had appeared in the last MSU Alumni magazine, although the pictures that should have been there weren’t. He did address it with the appropriate individual.
ii. Beryl will provide the graduating students with their pins this one last time. Gordon will assume this duty after this last presentation.
iii. Next Breakfast Club meeting is January 14th.
The next meeting of the board will be Sunday, March 16, 2008.
